What does a successful energy software implementation plan look like?

Switching energy software can feel daunting, but a clear implementation plan makes all the difference. Here’s what successful implementation really looks like.

What does a successful energy software implementation plan look like?

Time to ask an uncomfortable question about something you depend on every single day; are you happy with your energy management software?

Easier asked than answered, honestly! Firstly, your software is the foundation of your daily energy management and forward planning alike – from consumption monitoring to invoice validation.

Even if the answer is that your current software is limited in usability or functions, let’s be so real – familiarity is comfortable even when it’s not working. The longer you’ve used your solution – whether energy compliance software, sustainability reporting software or energy market software – the harder it is to imagine life without it.

Nobody loves a new process. Just thinking about switching software is enough to open the floodgates: Is this a good fit for us? Will the switch cause disruption? What happens to our data?

We’ll admit we’re not neutral here, but SystemsLink’s implementation process speaks directly to these concerns.

What happens if I take the plunge?

Moving on is one thing, implementing something new is another entirely.

Although implementation doesn’t give off anything particularly pleasant as a word, at SystemsLink we think this should feel like the easiest part of the whole decision to switch software.

We make that statement so confidently because our dedicated Implementation team has been at this since 2020 – over 100 clients have benefited from their expertise.

Consultants, public, private and third-sector organisations alike use SystemsLink software to reduce their energy spend and consumption, simplify carbon reporting and navigate volatile energy markets.

Our tried-and-tested five-phase Implementation Methodology ensures everything from your orientation to going live goes seamlessly.

Back to the big question: what does ‘successful’ look like?

To answer our own question about what a successful energy software implementation plan looks like, the simple answer is; you.

Every organisation uses their software differently, with different goals in mind. Our implementation process accounts for that.

From our end, successful implementation comes down to three things: system reliability, data integrity and maintenance. This is delivered through our proven processes and effective project management, shaped by years of industry experience.

So, what does this look like in practice?

Here’s how our Implementation and customer success process works:

  • We get to know you. Our Implementation Project Managers will want to understand your objectives, timelines and what resources you have available. If you need new reports or changes to existing ones, we’ll talk it through in a series of scrums and give you an honest view of what’s achievable.
  • Our Data Management team then takes the lead on designing and safely migrating your data across. We establish just how much data you require to be migrated as well. Whether you just need one year as a baseline or wish to bring across five-six years, the data team will support your needs.
  • We carry out workflow analysis to ensure you get the most out of your software and have properly documented processes to work from when you go live with the system. It’s also a great way to get you ready for training and User Acceptance Testing (UAT), which comes next.
  • One of our experienced trainers will guide you through a programme tailored to your needs so you can hit the ground running with your new software. A UAT process ensures you are happy with the structure of the system, all the specifications you requested are accessible and the training hasn’t left any stones unturned.
  • We then provide go-live support until you are ready to, well, go live! These are essentially like drop-in sessions to handhold you into the care of our service delivery team and ensure everything works well during that critical system changeover period.
  • Once you’re up and running, our Service Delivery team is on hand for ongoing support, from maintenance to anything else that comes up – just send us a support ticket through our online portal!
  • Your organisation will evolve, and your system should too. Our Customer Success team will make sure you’re always getting the most from your software.

You don’t have to navigate change alone. Let’s make sure you’ve got software that made the uncomfortable question worth asking.
